ROLE & RESPONSIBILITIES

• Provide comprehensive administrative support to the Ops management team.
• Responsible for day-to-day coordination of incoming jobs reported by onsite staff on various locations or sites.
• Advise on the handling of all correspondence and enquiries relating to accounts, sales, statistical and vacancy records;
• Managing employee schedules and potential conflicts
• Taking inventory of office supplies and order more if needed
• Helping establish and maintain office procedures
• Assisting senior management team when needed
• Dealing with staff recruitment, weekly rote management, and payroll recoding procedure
• Ensures that procedures for considering, issuing, amending and endorsing insurance policies are adhered to
• Responsible for organizing and controlling own workload, ensuring deadlines are observed and duties performed efficiently
• Contribute to effective information management (including maintaining administrative and information resources) and assist with the dissemination and/or collation of information/returns, in a timely manner.
• Communicate and engage effectively with a range of people, including internal and external staff and stakeholders. This will include dealing with clients’ enquiries promptly and courteously by email, telephone, letter or in person, referring to the relevant lead where appropriate.

Skills and Qualifications required:

Qualifications:

• Proven work experience as an office or business support manager or similar role.
• Extensive business management knowledge

Skills:

• Proficiency in the software used in your office
• Some experience with scheduling and payroll
• The ability to lead and motivate a team of staff
• The ability to cope under pressure in a fast-paced environment
• Good time keeping and attendance.
• Strong leadership, motivational and people skills
• Acute financial management skills
• Ability to work on initiative.
• Excellent attention to detail.

Experience:

• Experience of business or office work managing.
• Hands-on experience of managing a team in some capacity and have experience in previous jobs.
• Prior experience in an assisting role such as Deputy Manager, or Assistant Manager of an office for a few years, to demonstrate an understanding about the people management skills
• Good business awareness for achieving successful performance
• Experience in excellent written and oral communication skills for managing business administration and personnel matters
• Experience of strong planning and organizational skills to run a streamlined operation
• Experience in identifying cost-effective and reliable sourcing connections.
• Experience of managing people, resources and projects is important.
